Claims

Manage claim submissions and offer workflows.

Claims

Claims (called Offers in some admin screens) let members submit proof of activity—sales, installs, training completions, and more—for points you review and approve. Each offer defines what members can claim, the submission form they fill out, and how approved points flow into member balances and optional Data Buckets.

The side navigation label is Claims; the admin route uses /offers/. This guide uses offer for the configuration object and claim / entry for member submissions.

For bucket setup and Claim Points columns, see Data Buckets—this guide focuses on the Claims Manager app.

Overview

From Apps → Claims you can:

  • Create and manage offers (Active, Inactive, Archive)
  • Define opportunities — claim types within an offer (title, points, deadline, data-bucket mapping)
  • Build submission forms with drag-and-drop fields, sections, and templates
  • Review entries — approve or reject submissions and award points
  • Attach resources members can download when submitting
  • Group offers for display with Advanced Groups
  • Control visibility with member and company tags

Where to find it

  • List route: /offers/{programId}
  • Offer detail: /offers/{programId}/offer/{offerId}
  • Side navigation: Apps → Claims

Members submit claims on your program website when a Claims page and Claims component are configured in Design Studio.

Prerequisites

  • An open program with program administrator access
  • Editor role (or higher) — required to create offers, build forms, and review entries; Observer can browse the list
  • Members on file (and Companies if you tag by company) — see Members
  • For Claim Points on a Data Bucket:
    • An active bucket with a Claims column (or compatible point column)
    • Opportunities configured with Add Points to Data Bucket and a Data Bucket Category
  • To show offers on the member site, add a Claims component on a Claims page template in Design Studio

List page

The list has four tabs: Offers, Advanced Groups, Inactive, and Archive.

Use Search to filter offer cards by name. Click a card to open the offer detail.

Create an offer

  1. On the Offers tab, click Create an Offer (or the + button).
  2. Enter Offer Name.
  3. Choose StatusActive, Inactive, or Archive.
  4. Optionally set Member Tags and Company Tags (can also be edited later on the Tags tab).
  5. Click Save.

You are taken to the offer detail to add opportunities, build the form, and configure display settings.

Step-by-step

Define opportunities (Opportunities tab)

Opportunities are the claim types members choose when submitting—for example “Q1 SPIFF,” “Product Registration,” or “Training Completion.”

  1. Open an offer → Opportunities tab → new.
  2. On Settings, set Status, optional Deadline, Title, Subtitle, and Description.
  3. On Points:
    • Enter Points awarded when the claim is approved
    • Check Redeemable points if points should spend in the rewards catalog
    • Check Add Points to Data Bucket to write approved points to the bucket Claims column (recommended when using bucket totals for leaderboards, tiers, or awards)
    • Select Data Bucket and Data Bucket Category when adding to a bucket
  4. On Image, upload an opportunity banner (available after the opportunity is first saved).
  5. Click Save.

Repeat for each claim type in the offer. Only Active opportunities appear to members on the site.

Build the claim form (Form tab)

The Form tab has Builder and Form Presets Library sub-tabs.

Builder layout

  • Left: Multi-page form canvas — drag components from the palette into pages, sections, and columns
  • Right: Component palette (Components, Sections, Templates, Headings) and a Stepper toggle for multi-page flows

Common field types

TypeUse for
Text Field / Text Area / URLFree text, links
Dropdown / Single (radio) / Multiple (checkboxes)Fixed choices
File DropzoneReceipts, photos, documents
TableLine items (product, serial, price, quantity)
Date / Time / Switch / SliderStructured inputs
Title / Subtitle / TextHeadings and instructions
  1. Drag fields and sections onto the form canvas.
  2. Click the settings icon on a field to set label, placeholder, required flag, presets, and validation.
  3. Use Preview form to test the layout.
  4. Click save in the sticky footer to persist the offer (form changes are staged until saved).

The Form Presets Library sub-tab reuses preset option groups across offers.

Set titles and visibility (Titles and Tags tabs)

Titles tab

FieldPurpose
Offer TitleInternal name (admin list and breadcrumbs)
Display TitleMember-facing name on the site
DescriptionMember-facing summary

Tags tabMember Tags and Company Tags control who sees this offer on the program website. Empty tags mean all logged-in members (subject to page access). When both tag lists have values, member-tag and company-tag rules must pass.

Attach resources (Resources tab)

Upload files members can download to help complete their claim (spec sheets, claim instructions, templates). Files save immediately to the offer; respect the displayed file count and size limits shown on the tab.

Review entries (Entries tab)

The Entries tab is your claims inbox.

Summary cards show counts and percentages for Pending, Completed, and Rejected, plus Total Potential Points, Total Points Awarded, and dollar equivalents.

Entry table columns include Status, Member, Company, Submitted, Opportunity, Reviewed, Potential Points, Total Points, and actions.

StatusMeaning
PendingSubmitted; points not yet approved
CompletedApproved; points awarded (when redeemable)
RejectedDenied; no points awarded

Review a submission

  1. Click a row or choose Review Submission from the row menu.
  2. On Evaluation, review Opportunity Points, Form Points, and Bonus Points; adjust if needed.
  3. Click Approve to award points or Reject to deny.
  4. Click save on the offer to persist the review and process point transactions.
Save after review. Entry status and point awards are staged with other offer changes until you click save in the sticky footer. Redeemable approved points credit the member balance when saved.

Add an entry manually

Click new on the Entries tab to create an admin-entered claim (select opportunity, member, and submitted date).

Export downloads entry data as CSV for reporting.

Advanced Groups

Use Advanced Groups to bundle offers for display on the member site (for example “2025 Promotions” containing several related offers).

  1. Open the Advanced Groups tab → new.
  2. Enter Group Name and Display Order (lower numbers first).
  3. Select one or more Offers.
  4. Click Save.

Group names must be unique.

Status and order (Other tab)

FieldNotes
StatusActive, Inactive, or Archive — only Active offers appear on the member site
Display OrderSort order when multiple offers show in Claims components (lower numbers first)
Delete OfferPermanently removes the offer only when it has no entries; otherwise archive it

Save an offer

Configuration and entry reviews are staged until you save. When pending changes exist, save activates in the sticky footer.

  1. Finish edits across tabs (opportunities, form, entries, titles, tags).
  2. Click save.
  3. If opportunities write to data buckets, follow up with Save Data Bucket on each linked bucket so Claim Points refresh in totals used by Leaderboards, Tiers, and Awards.

How Claims connect to Data Buckets

When an opportunity has Add Points to Data Bucket enabled:

  1. Approved entry points are associated with the selected bucket and Category Key.
  2. Saving the offer updates bucket offer references.
  3. Save Data Bucket on that bucket recalculates totals so Claim Points appear in bucket-driven apps.

Turn off Add Points to Data Bucket on an opportunity when points should only credit the member balance and not affect bucket KPIs.

Tips and limitations

  • Editor role required — Observers cannot review, approve, or delete entries.
  • Offers vs Claims label — Navigation says Claims; URLs and some dialogs say Offer. They refer to the same app.
  • Delete with entries — Offers with existing entries cannot be deleted; set status to Archive instead.
  • Delete entries with points — Claims that already transacted points cannot be deleted until point history is removed from the entry.
  • Pending save — Review dialogs update staged data; always save the offer to finalize approvals and bucket updates.
  • Opportunity deadlines — Shown read-only on entry review; set on the opportunity.
  • Demo programs — Create, save, delete, and uploads are disabled on demo programs.
  • Two kinds of tags — Tags on the offer control site visibility, not which members can appear in the entries table (all members with access can submit when the offer is visible).
Typical publish flow: Create offer → add Opportunities with points and bucket mapping → build the Form → set Titles, Tags, and Active status → add Claims page/component in Design Studio → members submit → review on EntriessaveSave Data Bucket on linked buckets.
